Maine Initiatives Director of Finance
Maine Initiatives is a community-based foundation located in Portland, ME that advances social, economic, and environmental justice through informed, intentional, and collective philanthropy. We seek an energetic, creative, and team-oriented individual to join our growing team as the Director of Finance.
Position Summary
The Director of Finance is the team leader for Maine Initiatives’ financial management, administrative, human resource, and general operational priorities. The Director of Finance works closely with the Management Team to design and implement the overall policies, objectives, and goals related to the financial well-being and long-term financial and operational health of the organization. The Director of Finance supervises the Operations Associate and is the primary contact for the contract bookkeeper and other key contractor relationships.
Key responsibilities include:
Finance (65%):
- Supervise and provide guidance to the bookkeeper, operations associate, and other personnel as needed to ensure timely and accurate financial tracking, including account payable & receivables, payroll, bank deposits, transfer to/from investment and bank accounts, and bank reconciliations.
- Establish, coordinate, and maintain accounting systems that properly reflect the financial position of the organization, including:
- Conducting the monthly reconciliations and detailed review of income statement accounts and certification of accuracy;
- Providing detailed financial reporting for each program and operational area; and
- Presenting consolidated reporting to the Management Team, Directors, Executive Committee and/or Board that includes budget versus actual analysis, cash flow, forecasting and projections, and reports on investment accounts.
- Review and implement all operating policies and procedures relating to organizational finance, ensuring that proper internal controls are in place, appropriate risk management measures exist and are complied with, and that accurate and up-to-date written procedures are in place across the board.
- Work with the Management Team and Directors to review spending, report on grants, and prepare an annual (fiscal year) budget. Prepare detailed summary budgets for presentation to be approved by the Management Team in August and then by the Board of Directors in September.
- Compile financial information necessary for the completion of the organization’s annual audit and 990 tax filing and complete reports required by the State of Maine.
- Oversee donor database and CRM (Salesforce) management, ensuring timely gift acknowledgement and donor communications, and management of grant submission and reporting calendars.
Other Operations and Information Technology (20%)
- Act as primary contact on facilities matters.
- Oversee procurement and organization of office supplies.
- Maintain organizational files and documents including grant and finance records.
- Coordinate insurance coverage: Directors and Officers, Workers Compensation, General Commercial Liability, etc.
- Ensure compliance with regulatory and other compliance matters: Charitable Licensure, annual report to the Secretary of State, etc.
- Team lead on Salesforce, Quickbooks and other software administration and security.
- Manage the purchase, repair, and maintenance of office equipment and information technology, including computers, phones, printers, etc.
- Implement the document retention policy.
Human Resources (15%):
- Manage and oversee systems for payroll and benefits administration, employee enrollment, etc.
- Prepare and approve consultant and service contracts.
- Ensure staff has access to and understand Maine Initiatives’ benefits and personnel policies and ensure compliance with human resource and employment laws.
- Maintain personnel files.
Qualifications and Skills
- At least 5 years of experience working or with nonprofits, foundations and/or community organizations.
- Demonstrated expertise in fund accounting, including the ability to manage multiple funds with distinct purposes, ensuring accurate tracking of revenues and expenses according to donor-imposed or grant-specific restrictions.
- Proficient in maintaining and reporting on restricted net assets, ensuring compliance with legal and regulatory requirements, and providing transparent financial statements that reflect both temporary and permanently restricted resources. Experience in reconciling fund balances, monitoring the release of restrictions, and supporting audits related to restricted funds.
- Proven expertise in financial reporting, accounting, budgeting, and regulatory compliance.
- Experience with staff supervision.
- Solid understanding and ability to implement and communicate internal controls.
- Demonstrated proficiency with Salesforce, QuickBooks and MS Excel and Google Sheets.
- Excellent analytical and organizational skills.
- An ability to build genuine, respectful relationships and quickly establish credibility with people from all socio-economic segments and levels of leadership, and all dimensions of diversity.
- Ability to communicate clearly and share information effectively, both verbally and in writing.
- Demonstrate an understanding of and commitment to Maine Initiatives’ mission, vision, and values.
- Capacity to maintain confidentiality and handle sensitive information appropriately.
Compensation
The starting salary for this position is $75,000 per year. Benefits include generous paid time off (30 days), 10 paid holidays, individual employer-provided health insurance, long-term disability insurance, a defined contribution retirement plan with employer match, and a commute and parking stipend.
